Clinic Tracker โ€” User Guide

What is it?

A web page for recording clinic visits: which doctor saw the patient, how much was paid and how. It calculates each doctor's share automatically (50% of the amount unless a different rate is set for that doctor).

Signing in

The page is private. The first time you open it โ€” and occasionally after that โ€” you'll be asked for your email address. Enter your work email, and a six-digit code arrives by email within a few seconds. Type the code in and you're through.

Only Tina, Tamuna and Michael have access. If you enter a different email, access is refused.

Adding a visit

  1. Pick the doctor (แƒ”แƒฅแƒ˜แƒ›แƒ˜).
  2. Type the patient name โ€” optional, can be left blank.
  3. Enter the amount paid (แƒ’แƒแƒ“แƒแƒฎแƒ“แƒ˜แƒšแƒ˜ แƒ—แƒแƒœแƒฎแƒ) in lari.
  4. Choose แƒ›แƒแƒ›แƒกแƒแƒฎแƒฃแƒ แƒ”แƒ‘แƒ (service) or แƒžแƒ แƒแƒ“แƒฃแƒฅแƒขแƒ˜ (product).
  5. แƒ”แƒฅแƒ˜แƒ›แƒ˜แƒก แƒฌแƒ˜แƒšแƒ˜ fills in automatically. Type over it only when this visit is a genuine exception.
  6. Choose the payment method: แƒœแƒแƒฆแƒ“แƒ˜, TBC แƒ‘แƒแƒ แƒแƒ—แƒ˜, BOG แƒ‘แƒแƒ แƒแƒ—แƒ˜ or แƒ’แƒแƒ“แƒแƒ แƒ˜แƒชแƒฎแƒ•แƒ.
  7. The date defaults to today โ€” change it to back-date an entry.
  8. Click แƒ“แƒแƒ›แƒแƒขแƒ”แƒ‘แƒ. The row appears immediately.

Finding visits

แƒ“แƒฆแƒ”แƒก, แƒ”แƒก แƒ—แƒ•แƒ”, แƒงแƒ•แƒ”แƒšแƒ, or an exact แƒ“แƒแƒœ โ€” แƒ›แƒ“แƒ” range. Type into the แƒžแƒแƒชแƒ˜แƒ”แƒœแƒขแƒ˜ box to search by patient name โ€” any part of the name works, first or last.

The table shows 50 visits per page; use โ€น and โ€บ beneath it. Every figure at the top reflects the current filter, not just the visible page.
